How to get your proofs looking their best

Think about physical dimensions, resolution quality and fonts to ensure your reviewers get the best experience when they leave feedback.

A few simple choices can help your reviewers see your work clearly and leave feedback with ease. Consider the file’s resolution, fonts, and physical dimensions before creating a proof.

Tips for creating a clear proof

1. Use a high-resolution file

Use the highest-resolution version of your work. This helps your reviewers see the detail clearly, without having to reduce image quality to meet email attachment limits.

2. Embed your fonts

In Microsoft Word and PowerPoint, custom fonts may be replaced with default fonts if they aren’t embedded in the file. To embed them:

  • In Word or PowerPoint for Windows, go to File > Options > Save. Under Preserve fidelity when sharing this document or presentation, select Embed fonts in the file. The wording may vary slightly by app.

3. Consider the artwork’s physical dimensions

Very large artwork can be difficult to view and navigate in a proof. For artwork wider than 2 metres, we recommend scaling it down before creating the proof. This can make zooming in and out easier for reviewers.

4. Create proofs directly from Adobe Creative Cloud

If you create work in Adobe Creative Cloud, download the PageProof add-on to create proofs directly from InDesign, Illustrator, InCopy, Photoshop, Premiere, and After Effects.
