What are the key differences to know for your team and your users when the Asana advanced setting ‘shared workspace mode’ is on, versus off.

Shared workspace mode is a setting useful if multiple PageProof teams will be using the same Asana workspace to create proofs and attach proofs to Asana tasks. There are some key differences to note when this setting is on versus off.

Using the reference field in PageProof to reference a proof to an Asana task

Once the Asana app is connected at the PageProof user’s profile-level:

  • Proofs created in PageProof can be referenced to the Asana task using the PageProof reference field.

  • When using the integration field to search for an Asana task, search results will be based on what the user has permission to see in Asana.

If the PageProof user has not connected the Asana app under their profile:

Shared workspace mode is ON

  • Users can not use the reference field in PageProof to reference a proof to an Asana task.

Shared workspace mode is OFF

  • If the PageProof team has no default Asana user, users can not use the reference field in PageProof to reference a proof to an Asana task

  • If the PageProof team has a default Asana user, users can use the reference field in PageProof to reference a proof to an Asana task. When using the integration field to search for an Asana task, search results will be based on what the default Asana user has permission to see in Asana.

For a PageProof user to connect the Asana app under their profile:

  • A PageProof user can only be connected to a single Asana user.

  • The Asana app connection can only be made if the PageProof user’s team is connected to the Asana user's workspace.
