Manage team collections

As a team administrator, you can manage your team’s collections to control who can see and use the collection. Proof visibility and reviewer roles are set separately for each proof inside a collection.

As a team administrator, you can manage your team’s collections to control who can see and use the collection (create new proofs, as well as move existing proofs in and out of the collection).

Granular control over the visibility and role permissions for each proof is set on a proof-by-proof basis.

Open team collections

As the team administrator, click your avatar and select team, then collections.

Create a collection

Step 1

Click new collection to create a new collection.

In the Settings tab, enter a collection name. You can also add a description.

You can also choose where to place the collection. You can put it in a folder or inside an empty collection to organize it on the dashboard.

Set who can access the collection in the Shared with tab. See Set sharing permissions below.

The Status tab shows a breakdown of proof statuses once the collection contains proofs. Learn more about collection status and progress.

Search collections

Search by collection name, description, or folder. Select Show archived to include archived collections in the results.

Set sharing permissions

Open a collection by clicking it, or select Edit from the three-dot menu at the end of its row. Then select the Shared with tab.

Share with team

Turn on Share with team to show the collection on every team member’s dashboard. Team members who have the Create Proofs permission can create proofs in the collection and move existing proofs into or out of it.

Share with users

Add individual users to give them access to the collection. They’ll see it on their dashboard. If they also have the Create Proofs permission, they can create proofs in the collection and move existing proofs into or out of it.

You can add users from your team or outside it.

Archive or delete a collection

The Team Collections screen shows active collections by default. You can archive or delete collections individually or use the bulk actions on the screen.

Delete a collection

You can delete a collection only when it contains no proofs.

If you can’t delete a collection, check whether any proofs belonging to it are in the Recently deleted area of the team dashboard. Permanently delete those proofs before deleting the collection.

Archiving a collection

If a collection contains proofs, you can choose to:

  • Archive the collection while leaving its proofs in their current status.

  • Archive the collection and all its proofs.
