PageProof Intelligence® PreProof™

PreProof™ helps designers identify issues before creating a proof, reducing review rounds and proof versions for the entire team.

Written by Gemma

PreProof™ helps you identify and resolve potential issues before you create a proof.

Powered by PageProof Intelligence®, PreProof analyzes your work while you’re still designing and provides PI Insights — AI-suggested changes that can help improve your document before it’s shared for review.

By resolving issues earlier, you can reduce unnecessary proof versions and review rounds, save time, and send reviewers a higher-quality first proof.

What can PreProof™ check?

PreProof™ can review your document for a range of potential issues, including:

  • Spelling and grammar

  • Brand guidelines

  • Packaging specifications

  • Accessibility requirements

  • Content and design standards

  • Legal or regulatory requirements

  • Other custom requirements defined by your organization through a PI Agent.

The checks performed will depend on whether you use standard PageProof Intelligence insights or a PI Agent configured by your team.

Before you begin

To use PreProof™:

  • Your team must have PageProof Intelligence® enabled.

  • You must be signed in to the PageProof plugin.

  • Credits must be available.

Please note: PreProof™ is currently available in the PageProof plugin for Adobe InDesign. Support for additional design plugins will be added in future releases.

To run PreProof™

Step 1

With your document open in Adobe InDesign, open the PageProof plugin. Click the AI sparkle icon at the bottom of the plugin window.

Step 2

If your team has PI agent/s set up for use with PageProof Intelligence®, select the PI Agent you want to use.

For example, your organization may provide agents that check:

  • Brand guidelines

  • Packaging specifications

  • Marketing standards

  • Accessibility requirements

  • Legal or regulatory requirements, etc.

If you don’t select a PI Agent, you can use standard PageProof Intelligence insights to check your document.

Step 3

Click Review to run PreProof™. PageProof Intelligence® analyzes your document and displays any PI Insights that require your attention.
Note: Your document will need to be saved before PreProof™ can run.

A summary of the review is shown at the top, followed by insights grouped according to their priority:

  • Critical — issues that may significantly affect accuracy, compliance, or the integrity of the creative work.

  • Important — issues that may affect quality, consistency, or brand compliance.

  • Minor — lower-priority improvements or details worth checking.

Expand an insight to see more detailed information, then jump to the relevant page in your InDesign document to make the correction.

Step 4

Review each suggested change and update your document as needed.

When you've made your changes, click Review Again to run PreProof™ another time and check whether the issues have been resolved.

Tip

You can run PreProof as many times as you need while you're designing. Many designers choose to run it before creating a proof, and again after making significant edits.

Understanding PI Insights

PI Insights are AI-suggested changes designed for the document author.

Each insight identifies a potential issue and explains what should be changed before the proof is created.

Examples include:

  • Missing or incorrect brand elements

  • Accessibility improvements

  • Packaging or regulatory issues

  • Copy inconsistencies

  • Layout or formatting recommendations

  • Custom checks defined by your team’s PI Agent.

PI Insights will allow you to resolve issues before reviewers see the proof you send to them.

When should I use PI Insights during my creative workflow?

PreProof™ PI Insights
