PageProof release: v10.39

Feature

  • Recover deleted proofs
    Accidentally deleted a proof? No problem.

    Deleted proofs are now soft deleted and stored in your Recently deleted area for 7 days – giving you time to recover them if needed. A team admin can quickly restore a proof from the manage menu and continue where things left off.

    By default, proofs are soft deleted, but for teams that prefer immediate removal, admins can turn off this setting to permanently delete proofs instantly.

Training Videos in PageProof

We’ve added a new video tutorial page in PageProof, giving your team quick access to helpful tutorials right inside the app.

Whether you’re setting up workflows, managing proofs, or providing feedback, these short videos make it easy to learn the essentials and get the most out of PageProof.

New video tutorials area accessed in-app for all users


Training videos are organized by role:

  • Team admin training – Learn how to manage your team, settings, and integrations.

  • Proof owner training – Understand how to upload proofs, manage feedback, and drive approvals.

  • Reviewer training – See how to leave clear feedback and complete reviews quickly.

    It’s a simple way for new users to get up to speed – and a handy refresher for existing teams whenever they need it.

Enhancement

  • Team member security visibility
    Team admins can now see additional security details directly in the Team members area. You’ll now be able to quickly identify whether each user has two-factor authentication (2FA) enabled or whether their account is managed via single sign-on (SSO).

    This small enhancement makes it easier for admins to monitor account security and confirm how team members are accessing PageProof

    Dashboard search now lets you search proofs by user and role – making it easy to locate work based on who’s reviewing, approving, or involved in the workflow. Whether you're tracking down proofs assigned to a specific teammate or filtering by role (like owner, gatekeeper, or mandatory reviewer etc.), you can quickly find the work you're looking for.

    A small update with a big impact – helping teams find exactly what they need, faster.

  • PageProof Intelligence Insights in Proofs
    We’ve introduced PI Insights in proofs, a powerful new PageProof Intelligence® feature that helps reviewers spot potential issues faster.

    Powered by AI, PI Insights analyze your proof and surface AI-suggested markups and observations. These suggestions help reviewers quickly identify areas that may need attention – from spelling and font inconsistencies to other file details that could affect quality or brand compliance.

    With AI-suggested markups highlighting potential issues, teams can review creative work faster, reduce manual checking, and move proofs to approval with greater confidence.

We’re excited to introduce the new PageProof app for Canva – making it easier than ever to send your designs, including video, out for review and approval.

Design in Canva. Send to PageProof. Get it approved – fast.

The PageProof app for Canva lets you:

  • Create proofs and upload new versions

  • View comments in full context, including on-proof markup

  • Reply to comments directly

  • Place comment text with a single click

  • Download comment attachments

    And more.

Structured review and approval – now built right into your Canva workflow.

  • Gatekeepers can now Approve with changes & send on
    We’ve streamlined decision-making for gatekeepers. Gatekeepers can now choose Approve with changes & send on – allowing them to mark comments as to-do and move the proof forward in a single step.

    This is perfect for proofs that only need a small tweak or two.​

    A gatekeeper now has the option for approved with changes & send on


    Previously, gatekeepers had to:

    • Select Approve & send on

    • Go back into the proof

    • Mark comments as to-do

      Now it’s all done in one action – saving time and reducing extra clicks.

      Note: This decision option is available when the Approved with changes feature is enabled for the team.

Enhancement

  • Drag & drop collections into folders
    You can now drag and drop collections directly into folders in the Collections area on your dashboard.

    • Drag a collection that’s not in a folder into a folder

    • Move a collection from one folder to another.

    No extra clicks. Just drag, drop, and keep your dashboard tidy.

  • PageProof Intelligence® now brings powerful insights directly into your reports, helping you better understand proofing activity and performance across your team.

    PI Insights in reporting analyze your proofing data to highlight meaningful patterns and signals — making it easier to spot trends, risks, and opportunities to improve speed and efficiency.

    With PI Insights, you can quickly see:

    • Workflow steps that frequently cause delays

    • Reviewers or stages where work commonly stalls

    • High-volume contributors or bottlenecks

    • Approval trends over time

    • Opportunities to streamline your processes.

Instead of manually interpreting reporting data, PI helps surface the trends and signals that matter – giving teams clearer visibility into how work is progressing and where to focus next.

Enhancement

  • Easier collection management
    Proof owners can now add or remove a proof from a collection in just a few clicks. Open your proof, click the cog icon to access the Manage pane, then select Collection.

    From there you can:

    • Add the proof to an existing collection

    • Create a new collection

    • Remove the proof from a collection


    Simple, fast, and done right where you’re working.

  • Enhanced Dashboard Search – Faster. Smarter. More Powerful.
    We’ve upgraded dashboard search to help you find exactly what you need – faster than ever.

    You can now search using:

    • Proof ID

    • Collection ID

    • Reference ID (e.g. Asana task ID or monday.com item ID for example)

    • Current workflow step name

    • Workflow name

    • New “With editor” status

    • And more.

    Whether you’re tracking a specific job, checking integration references, or locating proofs mid-workflow, search is now far more flexible.


    Search performance has been significantly improved. For speed, archived proofs are automatically hidden when you click into the search field.
    Need to include them? Simply tick the checkbox to expand your results.


    Different sort orders can be set across saved searches and dashboard areas – your Inbox can sort differently from your Outbox for example.

    Smarter search. Cleaner results. Less scrolling.

  • PageProof Intelligence Insights on Dashboard
    We’ve added PageProof Intelligence® Insights to the Dashboard, giving you a smarter, at-a-glance view of what’s happening across your proofs.

    These insights highlight work that may need attention – such as stalled or overdue reviews – and help you prioritise what to focus on next, without opening every proof.

    Note: Insights are indicative and should be reviewed before taking action.

  • Easier date selection for reports
    We’ve made it much faster to choose a date range when running reports.

    Instead of manually setting start and end dates every time, you can now select from handy presets, including:

    • This month

    • Last month

    • This quarter

    • Last quarter

    • Custom – manually set a specific date range when you need it.

    This update makes it quicker to generate accurate reports, spot trends, and compare performance over time – without the extra clicks.

  • Collection status and progress
    You can now see the status and progress of collections at a glance.

    Each collection displays:

    • An overall status (Empty, Not started, In progress, or Completed)

    • A progress bar showing review and approval progress

    • A completed count (for example, 2/8)

    Team administrators can also see this information directly on collection tiles in the team collections area, making it easier to track progress across multiple collections and take action when needed.

  • New webhook: Proof updated
    We’ve added a new webhook event called Proof updated, giving you visibility when key details on a proof change.

    This webhook triggers whenever proof information is updated, such as:

    • Proof name

    • Due date

    • Reference text and/or integration reference such as Asana task, monday.com item, etc).

    • Tags


    It’s ideal for keeping external systems in sync with the latest proof details – whether you’re updating project timelines, triggering notifications, or maintaining accurate metadata in connected tools.
