Bulk manual approval of proofs
Proof owners can now manually approve multiple proofs at once from the dashboard. This makes it easy to quickly finalize several proofs together when approval has already been confirmed.

​Note: Proofs that require digital signing must still be approved individually.

Add an approver to multiple proofs
Proof owners can now bulk add approver/s to multiple proofs that are in proofing from your dashboard. Existing approvers remain unchanged, making it easy to include additional stakeholders on active proofs.

Link scanner navigation improvement
When using the link scanner to jump to an internal page within a proof, a new back button lets you quickly return to the page you came from. This makes it easier to review tables of contents and pages with multiple internal links without losing your place.

Text search for static proofs
You can now search for text within static proofs using the new Text Search tool in Magic Tools.
​

Text search scans the entire proof to find a word or partial word, highlights every match, and lets you navigate between results. As you move through matches, the proof automatically jumps to the correct page and location.
​

To refine results, you can choose to match whole words only and/or match case. You can also create a comment directly from a search result for faster feedback.

This makes it quicker to locate content, verify terminology, and review large proofs without manual scrolling.

FinalFile.com
FinalFile.com is a new free service from PageProof that lets creators add and verify C2PA Content Credentials on their files.

FinalFile.com extends PageProof’s commitment to authenticity from first draft to final sign-off.

Digital signing (Enterprise)
Enterprise teams can now require digital signing for final approvals. Approvers authenticate before approving, and PageProof generates a verified digital signature bound to the individual, proof version, and timestamp.

New link scanner
Static proofs now include a link scanner that detects and lists all internal links, external hyperlinks, and email links. Reviewers can easily test each link and pinpoint issues ahead of approval.

Formatted messages in proofs

Messages in PageProof – including messages to reviewers, message to editors, and messages to owners – now support rich text formatting.

Enhanced @mention notifications in Slack and Microsoft Teams

@mention notifications sent to Slack and Microsoft Teams now include an image preview showing the comment’s context with markup.

This gives instant visual clarity on what’s being referenced, helping you understand feedback and take action faster – without opening the proof.

FinalFile delivery to MediaValet
Final approved assets can now be delivered automatically into MediaValet using a dedicated proof tag. When a proof receives final approval, PageProof sends the FinalFile directly to your chosen MediaValet category – no exporting or manual uploads required.
A faster, more accurate path from approval to asset storage.

Bulk download of original proof files
You can now select multiple proofs on the dashboard and download their original files in one action, helping you manage assets more efficiently.

Swedish and Italian language support
PageProof now offers Swedish and Italian as interface language options. Reviewers and team members can select their preferred language in profile settings, making review and approval workflows clearer and more accessible for globally distributed teams.

Video subtitle support
PageProof now displays subtitles for video files when subtitles are embedded. This makes it easy for teams to review subtitle copy for accuracy and meet accessibility requirements.

Content Credentials for videos
PageProof now displays Content Credentials on supported video files. Reviewers can see the creator, understand the source, and identify whether the video has been AI-generated – bringing more trust and transparency to video reviews.

Granular admin permissions
Team administrators can now be assigned specific access to People, Proofs, Templates, and Setup. The team members list displays these permissions clearly, making it easy to see who has access to what. Setup includes integrations, webhooks, and feature settings – giving organizations stronger governance and more precise control.

PageProof custom fields available in Asana

You can now add PageProof custom fields to your Asana tasks, giving teams instant visibility into key proof details – directly inside Asana.

An update that brings powerful visibility to your work – and keeps every Asana task perfectly in sync with PageProof.

New PageProof add-on for Adobe Express
Designers can now create proofs, view reviewer comments, and upload new versions directly from Adobe Express with the new PageProof add-on. This new integration streamlines the creative workflow by keeping the entire review and approval cycle inside the design environment.

With the plugin, designers can:

Updates to supported languages
We’ve refreshed translations across Chinese (Traditional and Simplified), German, and French to improve clarity, consistency, and overall usability. Labels, messages, and workflow terminology have been updated to ensure a smoother, more intuitive experience for global teams.

Expanded reviewer decision webhook
The reviewer decision webhook now includes two additional events: approval reverted (triggered when an owner or team admin withdraws the proof’s final approval) and to-dos reverted (triggered when an owner or team admin reverts a proof’s to-do list). These enhancements give your integrations clearer, more complete visibility into key changes throughout the review and approval cycle.

Smarter handling of skip previously approved reviewers
When a workflow already contains a top step titled Approved the previous version, choosing skip previously approved reviewers now adds those reviewers directly into that existing step.

New email notification: final-step approvals
Proof owners can now receive an email each time an approver in the final workflow step approves a proof.
This notification (on by default) includes:

A simple way to stay across approvals without monitoring the proof in real time.

Clearer workflow template labeling

If a workflow template is modified during proof setup, its name now appears at the top of the proof’s info pane with (modified) appended – for example,
​Marketing workflow (modified).
This makes it easy for teams to see at a glance when a template has been adjusted for a specific proof.

Saved comment sort order
We’ve made it easier to pick up where you left off. PageProof now remembers your preferred sort order in the comment pane – whether you sort by newest, oldest, or comment number, for example. The next time you open a proof, your chosen view will be just the way you like it.

Schedule when a proof is sent
​Scheduled proofs lets you choose exactly when a proof is sent. Whether you’re working late into the night, finalizing creative over the weekend, or simply want to time your feedback requests, scheduled proofs ensures proofs are sent at exactly the right moment.

Asana custom fields now supported
You can now create PageProof custom fields inside Asana to display proof information, such as proof status, and use these fields in rules, automations, and Asana AI.

These fields can be used along with PageProof triggers – for example, to skip mandatory reviewers or archive proofs automatically – creating a seamless, intelligent workflow between PageProof and Asana.

Compare the same proof side by side
You can now compare the same proof in compare mode – perfect for checking consistency within a document.

For example, review a table of contents against page headings, or ensure design elements align across pages.
​

This gives reviewers more flexibility to spot differences and keep every page consistent.

Enhanced global search
Finding proofs just got even easier. Our enhanced global search now includes quick filters and advanced filters, giving you more control when searching for a proof from wherever you are inside of PageProof.

Festive fun, now with flexible controls
PageProof’s Celebrations – think confetti pops, themed icons, and special effects – have long added a bit of joy to the review experience. Now, team admins and users have the option to turn these effects off if they prefer a quieter dashboard.

Whether you’re all in for festive flair or prefer to keep things minimal, the choice is yours.

Collection sidebar: Focus on active proofs
We’ve added a handy checkbox to the collection sidebar that hides archived proofs by default – so you can easily focus on what’s active.
If you’d like to see archived proofs too, simply check show archived. Proofs that are archived display a dashed grey border around the tile.

Barcode scanner: new formats supported
The barcode scanner now supports additional barcode types like Codeabar, GS1 DataBar (expanded and limited), MicroQR, and more – expanding your proofing power for packaging checks.
